Woooooooo……Woooo………The siren sounded. All of us looked at each
other with excitement. The time has come for us to go into action.

From all over the building, we can see Emergency Response Team
members coming out, some looking a bit dazed. A general alarm had
been sounded and the ERT has been activated!

At the command post, the “Commander” quickly briefed all the ERT
members about the situation. There was a fire at the LPG storage
tank, and there was an urgent need to put out the fire before the
tank becomes so hot and pressurized that it explodes. Very serious
and widespread damage will certainly occur if that happened.

So all the ERT members swung into action. From the command post,
they ran all the way to the LPG area. One member was assigned to
the fire pump house to take care of the fire pumps. This type of
fire needed a tremendous amount of water to cool down the tank.
A few members barricaded the area leading to the fire. This was
necessary to ensure that the scene of the fire be restricted only
to people who are able to help, to ensure that the fire brigade
has free access, and for controlling the crowd.

As the ERT members reached the scene of the fire, the Commander
directed the operations while keeping in touch with one member
who was assigned for communications work at the command post.

The Direct Attack Team swung into action with their hoses. There
were 4 persons in each hose team - the first nozzle member, the
second support, the third runner, and the fourth hydrant valve
operator. Each member played their part to make the hose
connections, operate the valves, and advancing as smoothly as
possible.

The LPG fire need to be extinguished - but not by the water.
Extinguishing the fire in this way will create another hazard.
If the gas were to escape unburned, it could be more dangerous.
Any spark later on can ignite the gas and cause a bigger fire,
possibly causing a tremendous rush of expanding gases. So the
hose team have to try to approach the fire in order to close the
gas valve. That will stop the fire and the escaping gas.

There were sufficient people to operate 3 hose teams. While one
team approach the flaming area with a water-wall spray, another
two teams directed the water to the top of the LPG tanks with
water jet for cooling.

After a while, it was discovered that there was a casualty.
Somebody has been overcome by the smoke and has fainted. He has
also sustained a fracture on his arm. The first aid team was
called in, and they rendered first aid to the victim.

Within a few minutes, the fire was put off, and the building
was no longer in danger.

Fortunately, this was not a real fire. It was just a simulation,
using real LPG gas and burning in a controlled manner. This was
done to give the ERT members some feel of the real thing, to
check on our readiness, coordination, and skills so that they
can improve and develop their actions.

This type of simulation was very beneficial to the ERT members as
it gave them a first hand knowledge of what to expect in an actual
situation.

In the Middle Ages, the term Needlepoint encompassed a wide range of needlework. It is not unlike the work done today, but had a broader spectrum of techniques. Today, needlepoint is exclusively recognized as the tent stitch. In the Middle Ages, it was referred to as canvas work in technique - it incorporated the tent, brick, flat, cross, and braid stitches.

Early examples of canvas work are found on ecclesiastical items such as copes, altar cloths, chasubles, and mitres. In later centuries, it is found more often on items such as clothing, bags, cushions, table carpets, and floor carpets.

During the sixteenth century when inventorying the possessions of the Castle, the Earl of Shrewbury’s wife, Elizabeth (Bess) of Harwick (152?-1608) mentions “a long quition of pete point”. In 1650, Lady Morton lists her inventory of the Castle in Orkneys “I gryt Sweet Bagg soad with pitty point”.

Over the years, canvas work has been used with all types of needlework. Somewhere at the turn of the nineteenth century, canvas work was split into separate “forms”. Needlepoint became the tent stitch with varying sizes - “Demi”, being the medium size tent stitch and “Gros”, being the large size. While the term “Petit point” denotes the small size, it is still the tent stitch. During this period, Bargello needlepoint encompassed the brick and flat stitches (satin stitch), as well as other embroidery stitches and were now adapted to canvas. Cross stitch was also utilized extensively.

In the Middle Ages, canvas work was worked on a ground fabric that had a fairly even weave such as linen or hemp. The flax plant produces the material required to make linen. The cannabis plant produces the material used to make oils, rope, and cloth. Because of its strength and durability, sailcloth and tents were often made from hempen cloth. It is believed that hempen cloth is where “canvas” got its name and the tent stitch derived its name from the products.

Although hempen cloth was strong and very durable, it was not necessarily a rough cloth. Herodotus wrote, “Hemp grows in the country of Scythians which except in thickness and height of stalk very much resembles Flax in qualities mentioned, however Hemp is much superior. The Thracians make clothing of it very like linen, nor could any person without being very will acquainted with the substance, say whether this clothing was made of Hemp or Flax.”

It is interesting that “Poldavie” canvas from Brittany, was widely used as sailcloth and fabric for tents and beds but was also among the fabrics available for embroidery in Edinburgh during 1562. It might have appeared to be evenly woven linen but could have been made from hempen. It wasn’t until the late Middle Ages that wools became popular in canvas work, especially when imitating tapestries or carpet.

Today, a wide variety of materials are available, however, hempen cloth is obviously no longer one of them. Silk, wool, cotton, and metallics are the primary materials used today. Canvas is available in many sizes and even-weave cloths are easy to find. The popularity of canvas work has increased throughout the ages regardless of the change in terminology or the materials used. Though known by many names, a rose by any other name is still a rose. Accounts Payable Entry Level

As organizations look to drive down costs and improve efficiency, manual and time-consuming processes in accounts payable (A/P) are an ideal place to start. A/P processes are sometimes distributed in nature, may require approval on many levels, and generate huge volumes of paper and electronic documents that are difficult to effectively manage. Document imaging systems enables companies to achieve process efficiencies and cost savings in three key areas:

* Capture, storage and retrieval of data and documents
* Automation of critical business processes to drive efficiency
* Sharing of information and extension of processes to internal and external resourcesI

Integration with ERP and LOB applications allows companies to seamlessly enable a single interface to all payables transaction content, and extend automated processes into these applications. Integration will significantly improve response times, eliminate time-consuming duplicate data entry, reduce errors, increase processing efficiencies and enhance levels of service.

Implementing document management/imaging technology helps managers and employees identify, classify, track and manage all forms of A/P information, from inception through the end of the content lifecycle. The technology manages all types of corporate records, regardless of whether the record is in the form of a physical document, an email with attachments, or an electronic spreadsheet. The solution allows users to establish retention periods, organize and retain these documents and other assets for legally required amounts of time, and provide quick, on demand access to them.

As was stated in Part I of this series, a document imaging system in accounts payable will have good ROI if some or all of these conditions exist:

1. There are 5 or more payables clerks
2. They are manually matching checks
3. Invoices have to be approved after they are received.
4. Receivers are being printed and sent to accounting.
5. Some payables become receivables.
6. You process hundreds of invoices every week from the same vendor(s)

Much of the processing in accounts payable can be automated to some degree by using document imaging technology. An analysis of the department will determine to what degree you can automate and realize a good ROI. This article addresses entry-level document imaging and how you can make it pay off.

An accounts payable department with at least 5 employees should be able to justify a document imaging system based on vendor research and check matching. These two functions may take 30% or more of a clerk’s time. Eliminating check matching and reducing the time it takes to research vendor issues will increase productivity 15-20%. In addition you will have better control of your invoices, and auditing will be faster and cost less.

Setting up an entry-level document imaging system is not complicated it just requires a plan. The first step is taking a document inventory.

* Get samples of all documents that are part of the invoice paying process, which may include but is not limited to:

o Purchase order
o Packing slip
o Receiver
o Invoice
o Expense report
o Check

* Read How to select a document imaging scanner to help you select the right scanner for your needs.

* Determine origin of each document and how it is created.

o Internally or externally
o Computer generated

* Follow the flow of each document and determine how each document affects the process and the disposition of each document.

* After an invoice has been paid which documents are filed with the invoice and which documents are in other locations.

o Are checks matched with invoices and attached to the invoice?

* What are the retrieval requirements after the documents have been filed?

o These are the typical index keys used in accounts payable.
+ Purchase order number
+ Vendor number
+ Invoice number
+ Check number

Usually in accounts payable invoices and packing slips are scanned and indexed. The purchase order, receiver and check can be captured from the print spooler through a COLD (Computer Output to Laser Disk) process. These documents can be auto indexed by the COLD process.

Is there a need to match and verify check amount and vendor against the invoice?

· Database integration can be used to automate the check matching process.

The next step is to answer some questions about how to size your entry-level system.

1. How many documents per day will be scanned?
2. How many users will be retrieving documents?
3. How many years of documents will be on line?

It is always a good idea to check with your computer department and find out what server platforms they prefer.

The last step is to determine where you want to go with document imaging by answering the following questions.

1. Do you want to do work flow in accounts payable?
2. Do you want to automatic data extraction from invoices?
3. Are there other departments that will use document imaging?

After you gather all of this information you will be ready to set-up meetings with vendors. Choosing the vendors to talk to will be a challenging task. The requirements of the computer department may limit your selection. Windows 2003 or Linux is the most common platforms used for document imaging. You can start your search for vendors by doing a search on the Internet. Look at the vendors web pages; this will give you some information about their products. Select several to contact and set-up an initial telephone call or visit to start the process. On the initial visit you need to determine:

1. What server platforms are supported
2. Are their systems open
1. Not hardware dependent
2. Images stored in standard formats
3. Provision for exporting images with associated data
3. Do they have the features that match your requirements
4. Is their system scaleable
5. How is their system serviced
1. Can they work on the system remotely*
2. Do they have source code
3. What are the annual service fees
6. Three references
7. Will their system fit into your budget

Call the references before moving forward.

Select no more than three vendors for the final phase of the process. Have vendors demonstrate their system. Give them samples of your documents to use for the demonstration.

After the demonstrations are complete decide which of the vendors you what to give you a proposal.

Depending on the volume of calls, you make money and save the contracted client money.

Order Taking:

There are a lot of companies out there that take orders for the infomercials on television. These companies outsource to individuals that “work at home”. Most times you need a computer and a private phone line. these companies also offer on the phone training and pay you by the call minute.

Envelope Stuffing:

This is usually portrayed as a scam, but there are companies that still outsource this task for advertising mailers or newsletters that they send to their clients.

Document Production:

There are companies that outsource documents that need to be completed, when their volume exceeds their manpower. Most times, you are paid by the piece.

Outbound Calls:

This task is often outsourced to tele-market to potential clients. Most outsourced employees can expect twenty-five cents to fifty cents per call.

All in all outsourcing is on the upswing. It affords the client employees without the hassel of taxes and benefits. Be prepared to prove your work when signing as an outsourced entity.

The Internet has changed so much in the last few years. I can remember not to long ago when a person could safely chart his course through the Internet safely and easily, but now the Internet has changed for the worse for the uninformed user. Today, the Internet is full of spy ware, Internet hijackers, dialers and online stalkers. So what can we do to curve the possibilities of being overtaken with these nasty Internet bugs?

The first thing and most important is never ever open an email attachment sent from an unknown address. These types of attachments can deliver nasty things like spy ware, email viruses, and other things, which are not good for our computers.

Secondly, Install a good Internet filtering software, and never click on unknown websites.When we do things such as cruise the Internet for research we can open the door to threats by clicking on unknown websites. Web Hijackers can literally take over our web browsers leaving us helpless to the fate they deliver.

Thirdly, when something sounds to good to be true it probably is. Never ever give out personal information to anyone on the Internet. Scammers use unsolicited email to rob us of our personal information. Identity theft is one of the highest growing problems on the Internet.

Finally, if you or any other member of your family use chat software never ever give out personal information such as your address, phone number, or passwords. An intruder might use this information to track you down. The stalker might also use use your passwords to capture your Social Security Number, credit card information, and other personal data.

If we all learn to practice some of these simple things we can save ourselves from a lot of heartache and headaches which the Internet has to offer.
